Building Use

Overview

Under Regulation 1346, those wishing to apply for community use of any Guilford Public School building or grounds must obtain a School Building Use Permit Form at the facility they desire to use. The form must be submitted to the office of the building principal at least 14 days in advance of an activity. The 14 day period can only be waived under emergency conditions with the approval of the Superintendent.

The principal and/or school custodian at the respective school is responsible for ALL issues relating to building safety and proper usage. They are the on-site agents of the Guilford Board of Education and should be regarded as such.

Users of school facilities are liable for any damage to Guilford Board of Education property.

  • No smoking is allowed in or on school grounds.
  • No alcoholic beverages are allowed on school property.
  • Consumption of food and non-alcoholic beverages are confined to designated areas only.

Schedule of Fees

The following fee schedule has been established to defer the cost associated with the rental of our buildings and other special services. This fee schedule does not include holiday or vacation rates.

Hourly fees are per hour per employee.

1) Town Agencies and Committees

Monday-Friday (No charge)
Saturday and Sunday: Events that can be scheduled at the GHS between the hours of 7 a.m.-3:00 p.m. Saturday will also be at no charge.
Events that require setup and take down will be charged an additional fee of $50.00.

2) Guilford Volunteer Groups (groups with non-paid board and/or staff)

Monday-Friday: No charge
Saturday and Sunday - $35.00/hour
Events that require setup and take down will be charged an additional fee of $50.00.

3) Other Guilford Organizations (groups with a paid board and/or staff)

Monday-Friday: $35.00/hour*
Saturday and Sunday: $50.00/hour
Events that require setup or take down will be charged an additional fee of $50.00. This fee is applicable both on weekdays and weekends.

*Organizations providing Childcare services will be charged a flat fee of $100.00/week (M-F), per facility. This rate does not include weekends.

4) For Other Organizations

Monday-Friday: $35.00/hour
Saturday and Sunday: $70.00/hour
Events that require setup or take down will be charged an additional fee of $50.00. This fee is applicable both on weekdays and weekends.

Certificate of Insurance Requirements

Each organization or group contracting for use of a school facility shall furnish evidence of bodily injury, property damage and fire insurance in the form of a Certificate of Insurance naming the Town of Guilford-Guilford Board of Education as additional insured.

Minimum Coverage Required

Non-Athletic:
Use of the Guilford Board of Education facilities by civic organizations or private groups for meetings, dinners, etc. must provide a minimum liability of $1,000,000.

Athletic:
Sports leagues, youth athletic leagues, gymnasium rental, etc. must provide a minimum limit of liability of $1,000,000.

Purpose:
The purpose of obtaining a Certificate of Insurance is to show evidence that the renter has adequate insurance coverage for losses arising out of the activities being performed. However, the certificate holder does not receive any rights under the renter's insurance policy with respect to a claim unless they are named as an "additional insured." The following information must be included in the additional insured endorsement:

"It is agreed that the Town of Guilford-Guilford Board of Education is hereby named as additional insured with respect to (fill in activity being performed)."
